The requirement
With space a premium and the costly time taken to locate important documentation that were spread between many record books within the NHS unit, the NHS hospital was looking for a cost effective solution to solve this.
The solution
The documents were collected by DataSave Ltd and then processed. This enabled the Hospital to retrieve their records via specified search criteria at their desktop PC's. This not only solving the storage issue but also improving working practices and saving time and overall money.
Below is an email received shortly after the completion of the work:
Email from the department head:
"Thank you for the work you did on archiving our very old PM reports onto CD. I know the documents must have been difficult to handle since they were bound and went back to the 1940s. The quality of the images, especially on the old black and white photographs, was tremendous. Also useful was the index which we asked to be searchable by surname, date and lab number. I noticed that you were able to pull together, in one index, the paper reports and the photos which were bound in separate volumes. This enables us to have a complete list of documents on each case. Until now we had no way of searching our archives unless we had an approximate date around which to trawl through our ledgers and day books. With the index you have created we are now able to search by surname. Searching by lab number is so efficient it is now quicker to get printed copies of very old reports than it is to find the original document and photocopy it. It's just like having all the old reports online. The quality of your work is so high that we must now decide if we should keep the original documents on site, store them off site or destroy them."
